Reservations

A deposit of fifty percent is required at the time a reservation is made.  Payment is accepted in cash, check, or money order made payable to San Jose Museum of Quilts & Textiles.  VISA and MasterCard are also accepted. 

Reservations are made on the basis of availability and with the understanding the Museum reserves the right to cancel with full refund or to make other arrangements. 

Payment in full is expected prior to the event date.  Fees are refundable only with two (2) weeks notice of cancellation.

Any expenses for damages or excess cleaning as a result of the event will be billed directly to the renter.


Cancellations and Refunds

San Jose Museum of Quilts & Textiles retains the right to cancel an event at any point should the renter fail to comply with any of the terms contained in this agreement, or due to acts of nature, or special security issues, or other occurrences beyond the control of the Museum.  In such instance, the renter will be given as much advance notice as possible and any fees paid will be refunded.  Event cancellations on the part of the renter are non-refundable although payments may be applied to another available date if such an arrangement can be approved by the Museum.


Rental Agreements
Contractual Agreement

If a rental agreement is made between the renter and the San Jose Museum of Quilts & Textiles, the Museum will provide a contract referencing this document and outlining any additional conditions of the rental agreement.  The Museum will provide a signed copy of the contract to the renter after the event has been approved and the deposit has been paid.


Indemnity

The renter agrees to assume full financial liability and responsibility for any and all damages to or loss of objects or property belonging to or managed by San Jose Museum of Quilts & Textiles for all actions, behavior and damages caused by renter’s guests or attendees.


Insurance

San Jose Museum of Quilts & Textiles reserves the right to require the renter to provide evidence of general liability and property damage insurance naming the San Jose Museum of Quilts & Textiles as additional insured.

Rules and Regulations
Walkthrough

Pre-event meetings may be required by renter, event planners, caterers, or other contractors and must be by appointment made in advance so a staff member can be present.


Security
Catering/Food & Drink

No food or beverages are to be carried out of the “event space” or into the Museum galleries or store.  Rental fees do not include catering costs.  Alcoholic beverages must be approved by the Museum in advance.  Alcoholic beverages may not be sold unless the renter has obtained a permit from the State Alcoholic Beverage Control. Red wine is not permitted.

Renter is responsible for all set-ups, service, and clean up costs for rental event.  Museum staff is on site for administrative and security purposes only and is not expected to carry, lift, arrange, prepare, serve, or clean up equipment, food, or beverages.


Music & Entertainment

Amplified music is allowed on site.  Renter is responsible for providing all equipment.  Dancing is not allowed.


Photography/Filming

Renter must obtain permission from San Jose Museum of Quilts & Textiles prior to any filming or photography. 


Museum Admission

Renters and their guests are allowed access to the galleries to view exhibits during the rental event.


Decorations

All decorations planned during a rental event must be pre-approved by the Museum.  Flower arrangements and plants must be pest-free, may not be placed in the galleries, and must be removed immediately following the event.  All décor and signage should be free-standing.  Prior written approval is required before affixing items to any structure, inside or out.


Parking

The Museum does not have its own parking.  Metered parking is available on the surrounding streets Monday through Saturday 9:00 a.m. to 6:00 p.m.  On-street parking is free after six and all day Sunday.

There is a city managed parking lot two blocks from the Museum under the freeway that is $5 all day and free after 6.


Museum equipment and Amenities

The museum has a limited inventory of audio/visual equipment, tables, and chairs which must be requested at the time of rental and additional fees may apply.  Please discuss your needs at the time of reservation so there is ample time to make provisions.  The Museum can provide vendor contacts for your event needs.
